Check In/Check Out

Check–In Procedures

The check in time is 3pm year round and is noted in your rental lease. With the size and complexity of our homes, our housekeepers need every minute of the summer sessions 10AM to 3pm window to ensure the cleanliness of your vacation home. Please do not interfere with their work or pressure our staff to allow you entry before 3pm. It's a big job and everyone does their best to get you into a wonderfully clean and inviting home. For your own security, do not enter the home or use the pools until you have received the keys from our office. Do not plan on buying groceries before check-in. We cannot let you check in early nor can we provide refrigeration facilities. In unusual circumstances, it may be necessary to delay occupancy beyond 3:00pm until your home is ready. While you wait our office staff will be happy to assist with ideas of fun things to do while you wait. Upon check in please be prepared to present your photo identification and a credit card to keep on file it guarantee against damages.

Keys, Car Passes, Gate Control Cards and Pool Passes

Will be issued at check in if the unit you have reserved requires them. All keys, passes, card and tags must be returned to the office. Any items not accounted for must be paid for at that time. There is a $100 charge for re-keying (lost or unaccounted for key), $120 for each gate card, $40 for each car pass and $10 for each pool tag that is not turned in at check out.

Late Arrivals

If you will be arriving after 5pm, please make sure your rent is paid in full and your lease agreement and credit card is on file with the office. Keys will not be put out in the afterhour's box unless the payments have been made and we have received a signed contract.

Check–Out Procedures

Your vacation is nearing an end and we know it is hard to leave, but please remember CHECK OUT TIME 10am so the property can be prepared for the next guest.

Please make sure the following items are completed prior to leaving the property (a complete list is noted on your key packet as well as your rental agreement):

  1. The trash should always be bagged, placed in the appropriate garbage area. Garbage pickup days are noted in your home's guest book.

  2. Wipe out and empty the refrigerator and the cupboards of all items you brought to the house.

  3. Wash and properly put away dishes.

  4. Gather all of your personal items. We will not be responsible for any items left in the unit. Items returned will include a $25 fee plus postage for found items unclaimed after thirty days are turned over to a local charity.

  5. Leave furniture arranged as you found them.

  6. In cold weather, please leave the thermostats turned on, remove hot ash from fireplace and dispose properly, close doors to fireplace.

  7. Please do a final walk through to check that doors, windows and skylights are closed, locked and all lights are turned off. Pay special attention to outside flood lights.

If you are leaving before the Rental Office opens at 9AM you my leave your keys in the night drop box to the left of our front doors.

Occupancy/Overcrowding

Unless otherwise noted in the property description, Realty World follows the Carteret County Health Department regulations which assume occupancy of no greater than two persons per bedroom.  In no instance should occupancy exceed the bedding accommodations provided with the home. Overcrowding is a serious situation and is grounds for immediate eviction. Please do not jeopardize your family and friends vacation by overcrowding.  If you need to rent a second home to allow for the members in your group, please do so.

Payments

One-half of the total rent is due upon making a reservation or within 10 days of making a reservation. The balance is due 30 days prior to the arrival date.  Payments for advance deposits can be made by credit card, check, money order or certified check.  For reservations made within 30 days of the arrival date, payment must be made by MasterCard, Visa or Discover. Personal checks are not accepted within 30 days of the arrival date.  Please remember to put your reservation number on your check or money order.  If any deposit or portion of the deposit is not received by the specified due date, your reservation may be cancelled and the property released for general sale.  A $30 bank charge will be assessed for all returned checks. A Confirmation lease agreement will be emailed to you unless otherwise requested.  Please read the lease carefully, sign and returned it along with the deposit within 10 days of receipt. Many of you will vacation with other family members or friends, but only one person signs the lease.  We hold the leaseholder responsible for payment and all of the responsibilities spelled out in the lease.

Cancellations & Reservation Charges

In order to receive a refund from your reservations we strongly encourage you to purchase the Travel Insurance otherwise no refund will be given.

Family Groups Welcome

All of our vacation homes are privately owned; therefore, occupants are limited to family groups only.  NO SORORITIES, FRATERNITIES, WEDDING RECEPTIONS, SPRING BREAK PARTIES, RING DANCE GROUPS OR OTHER SUCH GROUPS.  You must be 25 years or age or older to obtain a rental agreement on a property and anyone under age of 24 must be accompanied by a parent.  Should a group misrepresent themselves, they will be evicted immediately without a refund.

Pets

Pets are not welcomed in or on the property of our house or condos at any time what so ever(not even as a visitor) except as noted in the  brochure with a fee.  Violators of this policy will be subject to immediate eviction without refund of rent or deposit.

Telephones

Most rental units have telephones for your convenience, not all units have phones and phones will not be placed in these units.  Please do not place or accept any calls charged to the phone.  All long distance calls must be made collect or billed to home numbers or credit cards.  Any calls billed to the unit including Directory Assistance and Call Return Service will be billed to you by Realty World-First Coast Realty plus a $75 service charge

High Speed Internet

Realty World First Coast encourages all properties to have some type of high speed internet access; however in some areas it is simply not available.   If it is not noted, the property does not have it, Realty World First Coast can refer you to one of the local internet cafes if necessary.

Televisions

All properties are equipped with at lease one TV and DVD player.  No refunds will be given due to TV’s or DVD players under repair.

Air Conditioning

Unless noted in the description, all homes are equipped with either central air conditioning or window units.  Please be aware that some of our homes are historic in nature and may not have central air.  If you are not sure your selected property has A/C please ask.  Absolutely no A/C units may be brought into any home.  Due to the limitation of available repair services and equipment there is no guarantee that a/c will be repaired quickly.

Kitchens

All kitchens are adequately stocked for everyday meal preparation and serving.  You can expect to find the following items for at least the maximum occupancy: coffee maker, toaster, dishes, glasses, coffee mugs, flatware, serving dishes, pots, pans and cooking utensils. Extra kitchen items are provided according to the individual owner’s preferences not according to the size, location or price of the home.   If you are planning special meal preparations you should bring such items as: blender, food processor, extra large or specialty pots, pans, chef’s knives, specialty cooking utensils, etc.

Docks

Docks may be private or community.  Please call reservations to verify dock water depth and amenities.  Please contact our reservation department if you have any questions regarding this.  The owner’s boat may be docked at the pier but it not available for the guest’s use.  Please do not disturb or board the boat.

Emergency Services

The essence of your vacation is to enjoy yourself, so we will make every effort to remedy “displeasing” situations and correct any problems you may experience in a timely manner.  Please report any inoperative equipment or problems to us promptly.  Please understand that certain emergencies do take precedence.  For after-hours emergencies, you can call our local office phone number of 252-247-5150 and follow the directions for alerting our on-call staff. This is for emergency maintenance situations only! For medical emergencies dial 911.  For non-emergency situations please call during office hours or leave a detailed message.  You can expect a courteous and professional staff to help remedy these situations; however refunds will not be issued due to malfunctions equipment or other guest dissatisfaction.

Other Items of Concern:

Boat Trailers

Parking of boat trailers may be prohibited in some neighborhoods/properties.  Check with your guest service representatives. Be sure to check with us prior to arrival if you are trailoring a boat.

Residential Parking

Parking anywhere other than the driveway provided is prohibited. Nearly all of our homes have septic drain fields that could be damaged.  Do not drive on the lawn.

Fireplaces

Some of our homes have fireplaces.  No outdoor fires unless in a specifically provided fire pits and firewood is not provided.

Grills

All properties should be outfitted with either a propane or charcoal grill and will be noted which on the property amenity sheet. Charcoal grilling is not permitted on decks, porches or close to the house.

Furniture

Rearranging furniture or taking inside furniture or electronics outside is not allowed.
